Purchasing Agent

Job Description

SUMMARY:  The position is responsible for source selection and procurement functions directly associated with the company's needs for indirect materials and services, fixed assets and tooling, and select production materials and services. These products and services are to be secured at cost quality and at delivery competitive levels consistent with company policy and performance standards. The position is further responsible for the timely planning and scheduling of receipt and inventory control of the products and services as assigned consistent with ERP software requirements or as appropriately concluded with a requestor.     


Responsible for participating, supporting, and maintaining compliance to the company's quality, environmental and occupational health & safety policies, procedures, programs, and activities as defined by the company. 


Position responsibilities do not include direct communications with customers or representatives.


ESSENTIAL DUTIES AND RESPONSIBILITIES include the following.  Other duties may be assigned.


            Verifies purchase requisitions by comparing items requested to master list; clarifying unclear items; recommending alternatives


            Forwards available inventory items by verifying stock; scheduling delivery


            Negotiates best Price


            Prepares purchase orders by verifying specifications and price; obtaining recommendations from suppliers for substitute items; obtaining approval from requisitioning department.


            Obtains purchased items by forwarding orders to suppliers; monitoring and expediting orders.


            Verifies receipt of items by comparing items received to items ordered; resolves shipments in error with suppliers.


            Authorizes payment for purchases by forwarding receiving documentation.


            Keeps information accessible by sorting and filing documents.


            Provides purchasing planning and control information by collecting, analyzing, and summarizing data and trends.


            Updates job knowledge by participating in educational opportunities.


            Visits suppliers' facilities to qualify them as new sources and assists in the resolution of production, design, quality and/or delivery problems.


            Regular, predictable attendance is required.


            Ability to get along and work effectively with others. 


SUPERVISORY RESPONSIBILITIES: This job has no supervisory duties.

 EDUCATION AND EXPERIENCE: Associate's degree (A.A.) or equivalent from two-year college or technical school; or three years related experience and/or training; or equivalent combination of education and experience.

Don't Be Fooled

The fraudster will send a check to the victim who has accepted a job. The check can be for multiple reasons such as signing bonus, supplies, etc. The victim will be instructed to deposit the check and use the money for any of these reasons and then instructed to send the remaining funds to the fraudster. The check will bounce and the victim is left responsible.
